Event Manager’s Day: A Day to Celebrate their Invaluable Contributions

Importance of an Event Manager

Event management is a field of skilled and experienced professionals who are specialized in managing small and large events. The triumph of any event depends on the event manager’s backbreaking work. They’re responsible for running a range of activities, ensuring that the target audience is engaged and the message of the event is communicated properly. In the bargain, they plan and execute promotional, business, cultural and social events. No doubt that, successful and well executed events play a major role in the promotion of a brand and enhance the image of an organization.

Role of an Event Manager

The functions and responsibilities of an event manager differ from one event to the other and from one company to the other depending on the nature of the event and expectations of the client. However, there could not be two opinions that event manager is the backbone of any event’s successful execution.

  • The event manager aids in eloquent communication with clients in determining the event requirements.
  • Prepare precise event proposals (including timelines, venues, suppliers, legal obligations, staffing and budgets).
  • Research venues, suppliers, and contractors, then negotiate rates and employ suppliers, as well as all event logistics (for example, venue set up, catering, entertainment, logistics etc)
  • To publicize and promote the event, online/offline as desired by the client.
  • Manage all pre-event planning, including guest speakers and delegate packets; arrange suppliers; and troubleshoot on the day of the event to ensure that everything runs successfully and within the budget.
  • Organize parking, traffic control, and security, first aid, hospitality, and media facilities; ensure that insurance, legal, and health and safety obligations are met.
  • Ensure dismantling and removal of the temporary structures created at the venue; do post-event evaluation as learning for improvement in future events; and research opportunities for new clients and events.

As an Efficient Event Manager must:

  • Guarantee a smooth final run-up to the event, make sure all vendor contracts are finished beforehand.
  • Should be adaptable and able to fulfill shifting needs, whether it’s in terms of event schedules, venues, or even the sort of event you’re holding.
  • Divide the various elements of the event into sections (registration, catering, transportation, etc) and assign them to each member of the team.
  • Create a manual or central document that describes everything about the event, including supplier contracts, visitor information, and floor plan.
  • If the client wants produce a custom hashtag for the event on social media like Twitter, Facebook, and Instagram, so that the hosts and guests can tag the event in relevant posts.
  • Send mailers on email or on social media to demonstrate the success of the event.

The toils and moils of event managers, pre-event, during the event and post event often go unsung. Still, event managers carry on their hard work to execute each event a masterpiece; fruitful and enjoyable for the guest and host alike.
